What does an AI receptionist do on a call?
It does the part of the job that decides whether you get the work: it answers fast, gets the facts and puts the job on the calendar. On every call ours will:
- Answer on the first ring, day or night, and say up front that it's a virtual assistant.
- Ask what's going on and collect the caller's name, address, best number and the details of the job.
- Answer common questions using only what you've approved, like your service area, hours and the work you do and don't take on.
- Book the caller into a real open slot on your calendar and text them a confirmation.
- Send you a short summary and drop the lead into your pipeline, so nothing lives in a voicemail box.
- Hand the call to a person when it needs one, and tell anyone in danger to hang up and call 911.
Why do missed calls cost so much?
Because the caller doesn't wait for you. In a September 2025 CallRail survey of 1,000 U.S. consumers, 82% said they'd call a competitor if a business didn't pick up, and only 42% said they'd leave a voicemail. Invoca's 2025 benchmarks found only 55% of callers to home-service businesses reached a live person.
Speed matters even when they do wait. A Harvard Business Review audit of 2,241 companies found the average reply to a new inquiry took 42 hours. The company that answers first usually gets the job, and an AI receptionist answers in the first ring.

An answering service takes a message and someone still has to call back. An off-the-shelf AI receptionist app answers the phone, but you set it up yourself and it usually stops at the call.
Ours is built into the rest of your system. The call books into your calendar, the lead lands in your CRM, follow-up starts on its own, and the details sync with the software you already run. We write the call flow with you, test it with real calls before it goes live and keep adjusting it as your business changes.

About four hours across the whole build. We'll need your calendar access, the services and areas you cover, the questions callers ask most, how you want urgent calls handled, and your missed and after-hours calls forwarded to the system. We handle the rest.
